This notice covers Interview Intelligence™, a Buzzqube product. It describes what the application does with the information you put into it. It is written to be read, not to be survived.
The short version
Accounts are backed up. Reports are not, and are never written anywhere that is. Generated reports live in the browser that created them and are deleted 1 hour after they are generated. Transcripts pass through our server to the AI provider and are not stored by us.
What we hold, and where
Your account
Your email address, display name, organisation, role and sign-in history are stored in our database, hosted by Supabase in the United Kingdom. This is the only information we retain about you, and it is backed up.
Interview transcripts and candidate data
Transcripts, job descriptions, candidate names and panel notes are held in memory for the length of a single request while the report is generated. They are not written to our database, to a file, or to a log.
Generated reports
A generated report is stored in your own browser and nowhere else. It is deleted 1 hour after it is created, whether or not you are still using the app. Signing out clears it immediately. If you need to keep a report, print it or save it as a PDF before it expires.
Because reports never reach our database, they are never captured in a database backup. That is an architectural decision rather than a policy one: backups cover a whole database and cannot be told to skip a table, so the only reliable way to keep something out of them is never to write it.
Usage and cost records
We record what each generation cost: the model used, token counts, the amount, and which account requested it. These records contain no candidate name, job title, transcript or report content.
Who else processes this information
Generating a report means sending the transcript to an AI provider. Depending on the model selected by Buzzqube, that is one of:
- Anthropic PBC (Claude)
- OpenAI, L.L.C. (ChatGPT)
- Google LLC (Gemini)
These providers retain API traffic under their own policies for their own periods. Anthropic’s default is up to 30 days. Our 1 hour policy applies to us and does not bind them. We would rather tell you that than imply a guarantee we cannot make.
Our other processors are Supabase (database and authentication) and Vercel (application hosting).
About candidates
A transcript is personal data about the candidate, who is not our customer. If you use this product, you are responsible for having a lawful basis for processing that interview and for telling candidates how their interview is used, including that an AI tool assists in writing up the assessment.
The recommendation in a report is made by your hiring panel, not by the AI. The product is deliberately built so that no automated decision is made about a candidate.
Your rights
You can access, correct or delete your account information at any time. Deleting your account removes it and your profile. Two things deliberately survive: usage and cost records, which are retained for accounting with the link to you removed, and the administrative audit log, which records that an account was deleted and by whom.
